Meals and Charges
All meals are freshly prepared on site each day.
Parents may choose to opt out of paying for food charges, non-food consumables, the digital learning platform, and activities. To do this, written notice must be given before the start of each term.
If you opt out, you will need to provide all meals needed for your child’s session in a clearly named cool bag. Meals must be ready to eat and must not contain nuts of any kind.
All food provided must include a full ingredients list, with any allergens clearly highlighted. Food should follow the Early Years Foundation Stage nutrition guidance for group and school-based providers and childminders in England. Please note that packed meals must not include chocolate, cakes, biscuits, or crisps.

Invoicing frequency
All pre-booked sessions to be attended for the month will be charged for monthly basis in advance and are payable on the 1 st of each month to which they refer.
There are no refunds for Food charges & non-food consumables charge due to absences or holiday and Public holidays.
Notice periods for the free hours and the additional hours
Termly Commitment
We ask all parents to make a termly commitment. In other words, if a parent decides to remove their child from our care part-way through the term, the funding will remain with us until the end of the term.
For additional hours, we require a minimum of one calendar month’s notice to cancel a place.
Late Collections
If a child is picked up later than their contracted hours, the following charges will apply:
- £20.00 for the first 30 minutes
- £12.00 for each additional 15 minutes (or part thereof)
These charges apply per member of staff who has stayed on to look after your child.
Admissions methods
We have a first come first served policy and you will be added to our waiting list if we have no availability.
Appeals process
If a parent has a complaint about any aspect of our delivery of the free hours, please come and speak to a member of the management team in the first instance.

15 Free Hours (Extended) – known as 30 Hours Free Childcare
Working Parent Entitlement & 2 Year Old Funding
The ‘universal’ entitlement of 15 free hours is offered to all 3 and 4 year olds
from the term after their 3rd birthday. The ‘extended’ entitlement provides an additional
15 free hours, subject to eligibility. Together these make up the
30 Hours Free Childcare.
Parents must apply via HMRC for the extended 15 free hours and must renew their
circumstances and eligibility every 3 months.
The working parent entitlement of 15 hours is available to eligible working parents of
9 month old babies and 2 year olds.
Some 2 year olds of non-working parents may also be eligible for
15 hours funding, subject to eligibility.
Eligibility Criteria
When a parent wishes to book some or all of their extended 15 hours or working parent entitlement,
we will check that they are eligible.
- Their 11-digit Working Parent Entitlement or 30 Hours Code (usually beginning with 5000, or 11 if temporary)
- The parent’s National Insurance number
- The child’s date of birth
- The child’s original birth certificate or passport
- Written parental consent (Parental Declaration Form) to verify eligibility
Once the code has been verified with Gloucestershire County Council, we can discuss
available sessions and offer a place.

Parents can apply for both the extended hours and
Tax-Free Childcare at the same time. Tax-Free Childcare is gradually
replacing the old voucher scheme that allowed childcare payments through employers.
Renewal Cycle for Extended Hours
Parents will be reminded each term to reconfirm their details. HMRC will send reminders
by email or text 4 weeks before renewal is required, and again
2 weeks before if the details have not yet been reconfirmed.
Parents are responsible for renewing their codes in good time to ensure funding continues.
Grace Periods
If a child with a valid code becomes ineligible during the first half of a term,
the child will continue to be funded until the end of that term.
Important: It is the parent’s responsibility to ensure eligibility.
Any fees due because of ineligibility will be payable by the parents.
